We build custom AI systems for your business.

We look at how your business runs, find where your team is losing time, and build and set up the AI systems that take that work over.

Tell us how your business runs

What is an AI system?

Think of it like a nervous system for your business.

A nervous system notices what is happening, carries the message to the right place, and makes sure the body reacts. An AI system does the same for a business: it notices an order, an email or a late payment, passes it to the right person or tool, and makes sure something happens, without anyone carrying it by hand.

Software built around your business that does a piece of your routine work for you.

It reads what comes in, keeps the information in one place, works out what needs to happen next, and does it.

Where a decision matters, a person approves it first.

What is inside one.

An AI system

  1. 01

    It reads.

Emails, documents, messages, forms and spreadsheets are read automatically, and the details that matter are pulled out.

  2. 02

    It keeps one record.

Everything about a client, order or job lives in one place, so information is not retyped, lost or out of date.

  3. 03

    It works things out.

It checks, compares, drafts and researches. For example, it checks every part of an order against your suppliers, or compares an order with the quote.

  4. 04

    It acts, or asks.

Routine steps are done for you. Anything that involves money, customers or a judgement call goes to a person to approve first.

  • 05

It shows you what is happening.

A simple screen and alerts show where every order stands and what needs attention, so you do not have to chase.

  • 06

It connects to what you already use.

Email, WhatsApp, Excel, Tally, QuickBooks or your existing software. Your team keeps working the way it does today, with less of the repetitive part.

Examples.

  • Example 1

    Doing the routine work

    What happens

A customer’s order arrives by email. The system reads it, checks it against the quote, flags anything that does not match, and prepares the entry. You approve it with one click.

    In another business

A clinic’s appointment requests. An online brand’s customer questions. Same idea.

  • Example 2

    Keeping watch

    What happens

The system keeps an eye on stock, deadlines and unpaid invoices. When something needs attention, you hear about it straight away, with a short summary each morning.

    In another business

A salon sees who has not booked in a while. A shop sees which bestseller is about to run out.

  • Example 3

    Knowing your business

    What happens

Your team asks a question in plain words and gets an answer from your own documents. New people find answers without interrupting anyone.

    In another business

Any business with price lists, procedures or a handbook that only a few people really know.

What it can look like, start to finish

Here is one process, followed from the first request to a finished order. The example is a company that builds custom motors for its clients. Every stage reads from, and writes to, one record for the order.

This is one process in one kind of business. For your business it could look very different: a simpler version, or a more detailed one. It is here to show what a system can do. It is not a fixed list of what we build.

Illustrative example, not a client result

  1. 01

    The request comes in.

It turns calls, emails and spec sheets into one structured request.

A client explains what they need and what it will be used for, over calls, emails and spec sheets. The system reads these and turns them into a structured request: the client, the product, its purpose and its requirements.

A person decidesthe final product, together with the client.

  2. 02

    One record is created.

The agreed order is stored once, and every other stage reads from it.

Once the product is agreed, the system stores it as a single order record: this client, this product, these parts, these quantities, this delivery date. From here on, every other stage reads from this record, so nothing is retyped and nothing goes out of date.

  3. 03

Every part is checked against your suppliers.

Each part is matched to your suppliers, with prices and lead times.

The system goes through the full parts list and matches each part to the suppliers you already use, with their prices and lead times. It shows at a glance which parts are covered and which are not.

  4. 04

    Gaps are found and filled.

Parts with no supplier get a researched shortlist and drafted quote requests.

For each part with no supplier, the system flags it and starts the search. It researches possible suppliers and collects their location, lead times and contact details into a shortlist. With approval, it drafts the quote requests, reads the replies, and chases any that go quiet.

A person decideswhich supplier to use.

  5. 05

The bill of materials builds itself.

Parts, suppliers and quantities compile into one document that stays up to date.

Parts, suppliers, quantities and specifications are compiled into one master document, and it updates whenever something in the order changes.

  6. 06

    The right factory is chosen.

It compares your factories and recommends where to build, with its reasons.

The system compares your factories on capability, current workload, location, materials on hand and deadline, and recommends where to build it, with its reasons. The bill of materials and instructions then go to that factory in the format it uses, and the system confirms they arrived complete.

A person decidesthe production manager makes the call.

  7. 07

    Everyone stays informed.

Every status is visible, and you are told straight away if something slips.

Status is always visible: parts ordered, parts arrived, production started, shipped. If the client asks where their order is, the answer is ready. If something slips, you are told straight away.

The same approach works for hiring, marketing, administration and any other part of a business where information passes from person to person. The right system depends on your business, which is why we start by looking at how it runs.

How we work.

  1. We look.

We learn how your business runs day to day: who does what, which tools you use, and where work waits.

  2. We find.

We list where time is being lost and pick the ones worth fixing first.

  3. We build.

We build the system around your process and test it with your team before it goes live.

  4. We set it up.

We put it in place, check that it works, and fix what does not.

Nothing important happens without a person approving it.

Who it is for.

We work with owner-run businesses where the same tasks use up the team’s week, whatever the business.

If your business runs on emails, spreadsheets and people remembering things, tell us how it works and we will tell you honestly whether we can help.

Questions.

Do I need to change the software I use?

No. We build around the tools you already use, such as Tally, QuickBooks, Excel, email and WhatsApp.

Do I need technical staff?

No. We set everything up and show your team how to use it.

What if the system gets something wrong?

Anything that affects money, customers or records is approved by a person first.

How long does it take?

It depends on the business. Once we have looked at how yours runs, we give you an honest estimate.

What does it cost?

It depends on what is built. We give you a clear price after the first look, before any work starts.

What happens to my data?

We only use the information the system needs, we agree what that is with you first, and we explain which tools process it.

Do you work with businesses like mine?

Probably. The same kinds of routine work exist in most businesses. Tell us about yours.
